Reservation Request Form

Be sure to review the Longhouse Reservation Information and Guidelines prior to submitting this form.

Before submitting the form at the bottom of this page, please check the calendar below to see if the Longhouse is reserved for the date and time you are wanting to request.

Please allow us a week to process your application.

Please provide all of the following information for your request:

Please share your event details in your own words. This will appear on the Longhouse LCC website calendar, what you write here is publicly viewed. Even if your event is closed to the public, Longhouse use is available for public viewing in the Longhouse calendar. 

 

 

Please check if your event is by invitation only. Also consider emailing your invitation to the Longhouse if you would like to extend an invite to the Native American Student Association, or others who you wish the Longhouse to reach out to. 
Please check if your event is by RSVP. If the contact for the RSVP is not the same person who fills out the Longhouse Reservation Submission form - please email the Longhouse with RSVP contact information.
Check if you would like help sending invitation to students/student groups, LCC staff, or Lane county Native community members. Checking ensures your event will be on the LCC campus wide digital calendar system. A flyer is highly recommended but not required. 
Include set up time and clean up separate from the event start and end time. 
The Longhouse Steward announces the Longhouse protocols at the start of events in the Longhouse. The Longhouse Steward always strives to participate in the opening of all events. If the Steward is not available, the event host is responsible for reading the protocols at the scheduled start time before the event begins. The Longhouse Steward ensures the Longhouse protocols are being upheld. It is your responsibility to have the Longhouse protocols available to share. A printed page is available upon request. 

The Longhouse has many community partners. The Native American Student Association NASA, is at the center of those partnerships. 

NASA co-chairs are encouraged to attend any and all events held in the Longhouse. Please be prepared to welcome our student leaders during your event.

Thank you for choosing the Longhouse for your event, course, or ceremony. This guide provides an overview of how to help maintain the Longhouse in a good way.

Protocols

The Longhouse Steward or the requestor will announce the protocols at the start of the event. 

  • Everyone using the Longhouse must follow Lane Community College policies, procedures, and the Student Code of Conduct.
  • Alcohol is not allowed in the Longhouse. Anyone who is under the influence of alcohol may not enter or remain in the space.
  • Lane Community College is a smoke-free campus. Smoking is only allowed in designated smoking areas outside of the Longhouse.
  • Firearms and other weapons are not allowed on campus or in the Longhouse.
  • The Longhouse is a place for respect, learning, reflection, and community. Please use respectful language and behavior while in the space.
  • Buying, selling, or exchanging money for goods or services is not permitted in the Longhouse.
  • Gossip (talking negatively) about others or self is not supported in the Longhouse. 

Lead and Helpers

The Lead is the person who completed the reservation agreement on the Longhouse reservation webpage. The Lead is responsible for making sure the Longhouse is left in better condition than it was found. Helpers are those assisting with set up and take down.

Cleaning Guide and Questions

The clean up checklist is provided here, and a printed copy is located on the cleaning cart in the kitchen. Please contact the Longhouse Steward as soon as possible with any questions or concerns, preferably before your reservation. Return the cleaning supplies cart to the kitchen storage hallway. Notify the Longhouse Steward when supplies are low. 

Access and Equipment Use

Set up access is based on the reservation details provided in advance. If you are locked out, call Public Safety non-emergency to gain entry. Dishwasher instructions are posted in the kitchen. All dishes must be dried and put away before leaving. The oven, stovetop, outdoor fryers, and fire pit require a quick training before use. Please contact the Longhouse Steward ahead of time if you plan to use this equipment.

Resources Available Upon Request

Frying oil disposal and tablecloths are available upon request.

Resources Not Available

Set up and take down support, kitchen custodial services, and on-demand cleaning support are not provided.

Before You Leave

Make sure all windows are closed and locked, all doors are closed, and all lights are turned off. Classroom tables should be reset to five to eight tables with two chairs per table, arranged in a square or circle in the middle of the Great Hall under the skylight.

Condition Upon Arrival

If there are concerns about the condition of the Longhouse when you arrive, contact the Steward as soon as possible at email at cohenrencountrea@lanecc.edu

Pest Prevention

Take all pizza boxes to the outdoor dumpster in the parking lot. Remove any food garbage from the Great Room trash can and the kitchen trash can. Leave cans for NASA to redeem. Please do not prop outside-facing doors open, as this increases pest activity.

Great Room

  • Immediately clean any spills with clean rags.

  • Wipe down all tables that were used. 

  • Reset five to eight tables in a circle in the center of the room under the skylight, with two chairs per table. 

  • Put away any additional tables and chairs. Sweep the floor.

Hall of Honor

  • Sweep the floor. 

  • Wipe down tables and chairs. 

  • Make sure no food, stains, or craft debris are left behind.

Conference Room

  • Wipe down tables. 

  • Sweep if needed. 

  • Turn off the heater or air conditioner.

Kitchen: A Shared Responsibility

  • Custodial does not clean the kitchen. 

  • Kitchen care is everyone’s responsibility. 

  • The Steward helps make sure everyone is recognized for doing their part, and deep cleaning takes place between terms. 

Dishes and Surfaces

All dishes must be hand washed first, sanitized in the washer second, hand dried next, and then put away. Do not leave dishes in the sink or out to drip dry. Wipe out all sinks. Do not leave food debris in the drains. Clean the coffee maker and filter after each use.

Garbage Disposal

Run the disposal if food debris is rinsed into the sink.

Refrigerator and Food Storage

Bag and seal sugars, creamers, and syrups and place them in the refrigerator. Label food with your name and a use-by date. Unlabeled food and drinks may be removed monthly unless other arrangements have been made with the Steward. Clean spills and food debris in the refrigerator immediately. 

Equipment and Safety
  • Turn off the gas and the overhead vent or light when finished. 

  • Do not pour oil down the drains. 

  • Clean the microwave after use. 

  • Clean the coffee pot after each use and place grounds in the trash.

Linens

Place dirty rags in the green and blue laundry bags located in the table and chair storage area.

Failure to follow the usage guidelines may jeopardize the individual or group’s future requests to use the Longhouse at the Lane Community College main campus.
