Purpose of Classification:
Provides a full range of administrative, systems and technology services. Provides basic, adaptive problem solving, and technical assistance for division or department staff, faculty and/or students for general and specialty software. Work is performed in accordance with the College's mission, vision, and core values.

The Administrative & Technology Specialist is distinguished from the Administrative Specialist by having greater level of complexity and scope (40% greater) in troubleshooting and supporting department technology users and problems in a first responder capacity.

The Administrative & Technology Specialist is distinguished from the Information Technology (IT) Technician by requiring a lower level of technical training. IT Technician positions require an advanced technical skill set to diagnose complex issues that do not fall into basic observation or pre-set solutions. IT Technicians possess a depth and complexity of analysis for software and hardware troubleshooting and repair. IT Technicians respond to requests outside of one department and provide campus wide technical support. IT Technicians require CompTIA certifications and are able to diagnose and problem solve new and unusual hardware, software, operating system and network problems.

Essential Functions:
Provides technology and administrative support for staff, faculty and students of the department or division. Provides customer service, both in person and over the phone. Works positively and professionally with staff, faculty, students and the public to provide general guidance, information and assistance.

Solicits recommendations for hardware and software purchases for departmental or division staff, faculty and, students. Maintains departmental or division technology supply inventory.

Installs and maintains software on LAN and stand-alone stations as a first responder. Assists division or department with application software, both departmental specific and campus wide.

Performs basic diagnosis and repairs on computer software, projectors, copiers, printers, and other technologies. Coordinates and reports repair of computer equipment and peripherals, and sets up computer labs which may involve coordination with Information Technology staff or outside vendors. Liaisons with Information Technology to ensure effective interfaces with the College information systems. Works with vendors; helps research needs to upgrade systems; installs and tests new systems.

Performs, monitors and maintains tracking systems for departmental or division projects, activities and timelines related to administrative or technology functions. Gathers information and compiles data for required reports. Plans and carries out projects which may require analysis, evaluation and interpretation.

Creates and maintains department or division website pages, drafts and edits departmental or division operating procedures, marketing materials and general correspondence.

Orients new staff, faculty and/or students on departmental, division or College policies, procedures and practices. Serves as a resource for creating documentation and training materials in response to staff, faculty and, student inquiries for division/department systems support. Creates and delivers training workshops/orientations and tutorials for staff, in both groups and one on one, as needed.

Coordinates with College departments for any department or division facility's needs, including, but not limited to furniture acquisition, relocation, remodel, installation, maintenance upgrades, and construction.

Coordinates and assists in the preparation and monitoring of the department/division budgets, grants, or funding sources as assigned. Analyzes financial reports; prepares requests for fund transfers. Handles or assists with financial transactions and control procedures. Processes expenditures, purchases, budget transfers and other actions.

Processes personnel action forms; prepares job descriptions; assists with staff recruitment, as appropriate to the position. Sets up and maintains confidential files.

Attends and actively participates in campus-wide and department meetings as well as conferences, seminars and training sessions to stay professionally current with rapidly changing technologies.

Minimum Qualifications:
Two years of post-secondary education in a computer related discipline. One (1) year of general office experience performing the full range of office support duties, and one (1) year of basic technical support experience troubleshooting simple software, printing, projecting, and other common technology problems is required. Some positions may require that the employee to obtain other special certificates.

Equivalent combination of training and experience will be considered qualifying.

Knowledge, Skills and Abilities:
Knowledge of: and skill in the operation and support of microcomputers and peripheral devise such as projectors, copiers, printers, and other technologies; basic methods of troubleshooting microcomputers and operating systems; basic microcomputer terms, concepts, capabilities, and components; computer software licensure agreements; and sources of microcomputer hardware, software, network software and supplies; administrative procedures including planning, budgeting, personnel, data analysis, and report preparation; College, department/division policies and procedures and ability to apply them appropriately.

Skill in: providing excellent customer service; operation of technology and office equipment; the use of word processing, spreadsheet, database, presentation, publication, graphic and other various software applications; effectively presenting information and responding to questions in one-on-one and group situations; generating or adapting systems to serve user needs.

Ability to: learn new software; understand and follow instructions in the form of program documentation and technical manuals; convey and exchange information with programmers, hardware/software technical experts and users; analyze and troubleshoot computer technology issues at a basic level for common end user problems; perform analysis to generate required reports; apply principles and use reasoning and logic to analyze problems, explore alternatives and implement the appropriate solutions; effectively interpret and communicate technical issues, information, and instruction to technical and non-technical end users both verbally and in writing; multi-task and effectively use time management skills to effectively prioritize work requests; troubleshoot, diagnose, perform basic maintenance and repairs on computers and associated technologies; train, plan work assignments, and set priorities as appropriate; organize and delegate tasks to assigned positions; conduct research, gather and organize information and prepare reports work independently with very little direction; maintain budget and fiscal records and to produce cost projections and other fiscal or grant reports; communicate, work, and collaborate effectively with diverse academic, cultural and ethnic backgrounds of college staff, faculty and students in work "pressure" settings characterized by frequently changing work priorities; attend meetings and trainings as required; and work safely in operating equipment and/or performing duties to prevent injury to self and others.

Physical Demands:
While performing the essential functions of these positions, employees in this classification may be required to sit, stand, keyboard, write, listen, and speak for extended periods of time and are exposed to frequently changing physical and ergonomic environments. Work requires using hands to handle, control or feel objects and tools. Work may require work on equipment that may be located in tight or poorly lighted spaces; occasional periods of sustained effort and crawling in confined spaces are sometimes required. Lifting and transporting materials up to 40 pounds is sometimes required.

Working Conditions:
Positions in this classification work indoors in environmentally controlled conditions. Job tasks are performed in close proximity to other people. Work involves concentrated mental and visual attention for sustained periods of time. Work pressure and interruptions occur on a frequent basis. These positions may work with individuals who may be distraught, unpleasant, angry or discourteous. Work requires daily attendance at the designated working location.

Tools and Equipment Used:
In performing the essential functions of the position, the following tools and equipment may be used: laptop and desktop computers and related technologies, copiers, printer, scanners, fax machine, cameras, projectors, multi-use technology carts, telephone; and other related tools and equipment.

Supervision:
Works under the general direction of a lead worker or manager who sets forth working procedures and objectives. Positions in this class are responsible for establishing their own work procedures and priorities within guidelines. Many assignments are self-generated based on a knowledge of work processes and results that must be achieved. Work results are evaluated periodically by the lead worker or a manager through observation to assess results obtained and for conformance to overall goals and professional standards. Review of work in progress is generally in the form of completion of tasks and resolution of problems.

Positions in this class may set work schedules, plan and assign tasks, trains, provides priorities, and monitors work results of hourly classified and student workers.
